Provide administrative support to Director and staff of the Facilities Department. Organize and maintain all administrative files, ensuring concise and accurate accounts of all departmental business. Establish constant flow of communication between Facilities and other departments, enabling the Facilities staff to respond in a prompt and timely manner.
*Provide staff assistance both within facilities and other departments, establishing a constant flow of productivity and communication to provide timely action for the safety and comfort of our staff and visitors.
*Monitor radio transmissions and respond when necessary. Answer phones, screen and direct calls, ensuring proper response. Copy and compile messages, providing timely and accurate information so that facilities responses are timely and appropriate.
*Receive, direct or create correspondence from outside mail to in-house e-mail enabling parties involved to receive and respond quickly and concisely.
*Organize, update, and maintain both paper files and computer files consisting of work orders, purchase orders, invoices and correspondence in order to provide departmental histories and controls.
*Collect, verify and input cost data, then generate invoices so that payments are collected on a timely basis.
*Collect, verify and input data and maintain several Access databases and file systems including "Prints" and "facilities Account control" in order to provide clear and concise information for facilities use.
*Perform all other duties as required by manager
Qualifications of the Candidate
Post High School course work, such as or including a technical degree, associates degree, business certificate, apprenticeship, or equivalent.
*1 to 3 years of experience, including computer skills and phone experience.
