Job Description

365 day responsibility for 1,000,000 square feet of museum property, consisting of 7 multi-purpose buildings including a 5 level parking garage, planetarium, Omni Theater, two theaters and four animal living areas.

Responsible for annual $3.5 million expense budget and up to a $1 million capital project budget.

Responsible for an in-house staff of 13; 15 contractors; and 30 contract cleaning employees.

Responsible for the distribution and use of 9 million kWh of electricity delivered at 13,800 volts, 25 million 1bm of steam delivered at 200psi.

Responsible for building systems which include natural gas boilers (340 therms annually), 1000 tons of chilled water, 11 high voltage distribution stations, a 400 kW of generators and a 50 kW UPS, fire suppression and alarm, 11 elevators/escalators, environmental controls and a 500+ point computer operated building management system.


ACCOUNTABILITY STATEMENTS:


1. Protect the Museum´s interests and image by supporting and enforcing Museum policies, procedures and initiatives and serving as a positive Museum representative to the internal and external communities. This includes a significant Museum focus on sustainability, through education as well as building systems and maintenance.


2. Hire, train, develop and evaluate staff in order to ensure that the Museum has the appropriately qualified human resources necessary to meet its overall objectives. Ensure that hiring and development practices met the long-term goals of the "Strategic Plan for Increasing Diversity."


3. Provide on-going long range and emergency services, establish and administer preventative, corrective and deferred maintenance programs. Delegate, assign, and monitor work to various staff so that the museum continues its high quality operations and mission. Through consultation with other museum managers, provide these services with a high level of quality, communication and responsiveness so that these services meet all recognizable needs. Disseminate work order, project and maintenance information to allow museum managers and administrators to make informed decisions.


4. Develop and administer budgets for the facilities department including the operating budget, deferred maintenance costs and various construction, renovation and project budgets. Develop cost Vs benefit analyses and ROI calculations for project candidates. This to insure that money spent is appropriate in both amount and application.


5. Supervise and coach a staff, which includes engineers, technicians, mechanics, plumbers, painters, other trades, interns and volunteers. Counsel staff and make available both educational and experience based opportunities for personal development and promotion. Develop and maintain a spirit of teamwork, ownership and accomplishment so that the museum and these employees receive maximum benefits from their efforts.


6. Draw up specifications, invite bids, negotiate and award contracts, and oversee performance for all maintenance contracts, include cleaning, fire alarms, elevators, electrical systems, HVAC systems, landscaping and other building systems. Set proper maintenance standards and ensure contractors uphold them so that the museum can continue to provide a myriad of quality services and environments to its guests and employees.


7. Responsible for overseeing all construction and renovations including plan development, contract administration, and job-site supervision. Provide liaison between museum, architects, engineers, public agencies and contractors involved in museum projects. Provide design and development ideas and parameters, draw up bid documents, take and review proposals, analyze bids and award contracts and then monitor all museum construction and renovation projects. This to ensure that the museum´s quality standard is maintained and that work is completed within budget, in a safe, timely, legal and workmanlike manner.


8. Consult with other managers for museum projects and provide creative designs and solutions so those projects are completed at the highest levels of quality. Prioritize projects so that the museum and its staff and visitors receive the highest value from Facilities resources. Work with Trustees (Physical Facilities Committee and Green Building Committee) to set priorities and lobby for proper budget levels.


9. Maintain liaison with all building officials and other government officers involved with the museum property, including building inspectors, fire department inspectors, and other compliance officers. Serve in a senior capacity on the Museum´s Safety Committee. Obtain all permits and licenses required in the operation of the Museum. Make sure that the museum complies with all Cambridge, Boston, Commonwealth of Massachusetts and Federal Codes & Regulations such as OSHA, EPA, DEQE, ASRAE, ETC, NFPA, DEP, etc. This is done by inspecting for compliance, meeting with government and insurance inspectors, and then creating and designing appropriate solutions for correcting deficiencies. Non-compliance could result in large fines and museum shutdowns.


10. Insure that the Museum´s electrical, steam, natural gas, water and sustainable systems needs are met at the lowest costs by creating and developing initiatives in systems design and purchasing practices so that the museum uses these resources as economically and efficiently as possible.


11. Develop, publish and disseminate instructional, safety and emergency procedures for all museum mechanical, electrical and architectural building systems. Insure that the museum is a safe and pleasant work place.


12. In consultation with the VP, Visitor Services and Operations, allocate space and furnishings for their best use.


13. Maintain records, drawings, and other information on the museum facility.


14. Perform all other work-related duties as required by the Vice President of Visitor Services and Operations.

Qualifications of the Candidate

Position requires a comprehensive knowledge of technical and/or business practices and procedures of one or more areas of the museum and broad in-depth understanding of the area´s objectives in relationship to the museum´s overall strategies. Master´s degree or higher preferred.

Experience required is more than ten (10) years.

Technical experience and working knowledge of building operating systems such as HVAC, pneumatic controls, direct digital controls, natural gas, chill water and steam operation, UPS, emergency and high voltage electrical distribution and their related building trades such as electrical, plumbing, masonry and flooring. Working knowledge of electronics and control circuits.

Ability to design, write specifications, provide drawings and analytical calculations for projects. Ability to read and comprehend blueprints, specifications and sketches.

Familiarity with building codes and other government regulations.

Demonstrated ability to manage a diverse portfolio of major projects (construction and other), business knowledge and management skills.

Technical experience and working knowledge of sustainable design in buildings and mechanical systems.

Excellent communication skills including technical writing, presentation skills and ability to interface with diverse staff and guests.

Working knowledge of Windows, Microsoft Word, Project, Access, AutoCAD and other job related computer programs.
